Quick answer: an office move in Israel is easiest to handle as a small project with one owner. MovingIL is that owner on the logistics side. You describe the office in English on WhatsApp, we agree one closed price, and an independent moving company does the physical move of desks, chairs, cabinets, archives and packed equipment. We do not shut down servers, run your IT, negotiate your lease or deal with the building for you, but we tell you early what has to be arranged by others, and by when.
Who this suits. English-speaking office managers and operations or finance heads at Israeli subsidiaries of foreign companies, startups and R&D centers outgrowing their space, and professional firms such as law, design and accounting offices. You may be running the move for a head office abroad that wants a written scope and a single price to approve, while everyone in the building speaks Hebrew. That gap is exactly what this service is for.
Who does what. The trucks, the crew and the tools come from the independent moving company that carries out your job. MovingIL coordinates. We collect the details in English, put the instructions to the mover in Hebrew, keep the plan and the price in one chat that you can forward to your approvers, and follow up as the date approaches.
Plan around the Israeli week. Most offices work Sunday to Thursday, with Friday short or closed, and nothing is assumed on Shabbat or Jewish holidays unless a mover confirms otherwise for your job. That pattern is a gift for office moves. A move that starts on Thursday evening and finishes on Friday can have your staff arriving on Sunday morning to working desks. Whether a mover is available on a Thursday evening or a Friday, and what that does to the price, is part of the quote. Avoid the holiday weeks around Rosh Hashanah, Sukkot and Pesach, when building staff, suppliers and your own people are thin on the ground.
The building decides more than the truck does. Office towers and business parks usually have a management company with its own rules. Ask both buildings, the one you leave and the one you enter, about the freight elevator and how to book it, the permitted loading hours, the size of the elevator and the loading bay, floor and wall protection, security passes for the crew, where a truck may stop, and what paperwork they want in advance, which often includes the mover's details and proof of cover. Send the answers to us in the chat, because the mover needs them and so does your price. Some older buildings have no freight elevator at all, and everything goes by the stairs.
A move plan on one page. Number the desks on a floor plan of the new office and put the same numbers on the furniture and crates at the old one. Give each department a color. Appoint a move manager at each address, because the crew should take instructions from one person and not from the whole company. Staff pack their own desk contents into numbered crates the day before, with a clean-desk rule so that nothing loose is left behind. Meeting rooms, the kitchen and the storage cupboard are packed by whoever owns them. Mark anything that must not move: a plant, a safe, a machine rented from a supplier.
Bigger offices are easier to move in stages. A department that can work from home for a day, such as sales or finance, goes first, and the teams that need their equipment on Sunday go last, so the final hours are about desks and screens and not archives. In a staged move the closed price shows each stage as its own line, so you can compare what a second evening costs against one long push.
On the day itself, make sure both addresses have a named person, working access cards for the crew and a parking arrangement the building has approved. Walk the new space before the first crate arrives and the old space after the last one leaves, taking photos of the empty rooms, so that existing marks on floors and walls are on record.
Furniture and fittings. Workstations, shelving, meeting tables, chairs and lockers make up the bulk of most moves. Desks and shelving are disassembled and rebuilt, as described under furniture assembly. Glass partitions, fitted kitchens and built-in cabinets belong to the premises and are not something a moving crew takes out. If the new space is empty, the layout drawing tells the crew where each piece goes. If you are leaving fitted items behind, find out what your lease expects you to hand back.
IT, telephones and internet. Movers carry equipment, and they do not shut down a server room. Your IT provider should power down, label and disconnect servers, network racks and phone systems, and bring them back up at the other end. Label every cable. Order internet and phone lines for the new space as soon as the lease is signed, because an installation can take longer than the move itself. Plan for the first Sunday, since a working network on day one decides how the move is remembered.
Paper, archives and confidential files. Many Israeli offices still keep paper files. Use sealed, numbered crates with a list of what each one holds, and keep the list apart from the crates. For regulated or sensitive material, check your own requirements first. MovingIL can pass your handling instructions to the mover, but we make no claim about certifications or clearances.
Items that need a conversation first: safes, plotters and large printers, laboratory equipment, kitchen appliances, artwork and water coolers. Rented equipment goes back to its supplier, not to the new office. Specialist items may need a specialist mover, and you will know which side of the line each one falls on before the price is agreed.
The paperwork around the move. Your accountant will know the list, but it usually includes the new business address with the Tax Authority and the Registrar of Companies, the municipality (business property tax, arnona, is closed at one address and opened at the other), the bank, your business policies, the website, letterhead and email signatures, and any permits tied to the premises. Ask the landlord of the old space how it must be handed back, and photograph its condition on the day you leave. The movers do not do this and neither does MovingIL, but it is easier to schedule when it sits on the same page as the move date.
Moving into a co-working space is simpler on paper and stricter in practice. The operator usually sets move-in hours and limits what you can bring, so get their rules before you plan the day.
What is not part of this service. Disposal of old furniture and electronics is not included, so plan it separately, and neither is cleaning or repainting the old space. International moves of equipment are outside what we do, because we coordinate moves inside Israel only.
How the price works. You get one closed price on WhatsApp once we know the scope. The drivers are the number of workstations, the volume of archive and storage, the floors and elevators at both ends, the distance, the date and hours (a Thursday evening or a Friday differs from a weekday), desk assembly and any specialist item. Whether the price includes VAT is stated in the quote. A short video walk-through of both spaces saves guesswork, and it saves you a site visit in a week when you have no time for one. To start, send the scope and your target dates on WhatsApp.
